Travel Planning & Booking

Your Residency

We have secured access to competitive rates, generous amenities, and the depth of support that only arises from a professional business relationship.

At this time, we are unable to provide travel planning & booking services to non-residents of Canada or the United States. Some exception may arise on a case-by-case basis where a non-resident is travelling with a resident and the resident is the lead passenger.

Accuracy of Information

You shall provide a full and accurate disclosure of your personal information, including telephone and email contact details, billing and mailing addresses, and any additional information required to successfully plan and execute your travel. You also agree to update us if your information changes, such as after a move or following the renewal of a passport.

Your Travel Documents

We will not proceed with any planning or booking without the prior delivery of a copy of your travel documents. In most cases, this is your current Canadian or US passport. Your travel documents must remain valid for at least six (6) months beyond the date you intend to return home when planning your travel or we may refuse to plan or book your travel. We are able to provide you or a designated next of kin copies of your passport or travel documents where you require consular assistance during the trip you have booked with us. Please note that we will only communicate such documentation at your request and via the means you have registered with us in advance of your travel. We shall not be responsible for loss related to the communication of your travel documents when so requested. It is strongly suggested you register your trip with the appropriate government authority. For Canadians registering their trip abroad, this is: https://travel.gc.ca/travelling/registration For Americans registering their trip abroad through the Smart Traveler Enrollment Program (STEP), this is: https://step.state.gov/

Travel Insurance

*THIS IS NOT A SOLICITATION* We strongly suggest that all travellers secure a robust travel insurance policy providing adequate coverage for all travellers and for the entire duration of your time away from home. Depending on your state/province/territory of residency, we may be able to directly administer a policy booking on your behalf through our preferred suppliers. At this time they are Manulife (Canadian residents) and John Hancock (US residents). Please note that supplier packaged "protection" or "coverage" elements are not insurance products, although they may offer certain protections which you as a consumer will have to decide is or is not sufficient for your trip needs. While we are unable to influence the outcome of any claim you might initiate, where you have elected to procure your own policy you may find that our ability to support you throughout your travel and subsequent processes surrounding any claims is severely diminished. You may decline the purchase of travel insurance by phone, email, or otherwise indicate to us that you do not wish to purchase travel insurance and it will be noted on your invoice as such. Please note that we may require written notice in some circumstances.

Deposits & Fees

We offer you a highly specialized service and recognize the significant personal value your trip represents.

Our travel advisors are highly experienced and often also carry a multitude of qualifications and awards. You have come to us for our travel planning excellence and other depth of support in helping you enjoy your trip.

Registering your interest, completing a profile or client file is complimentary. However, we may require a Plan To Go Deposit prior to the delivery of any quote and cannot register your traveler profile with a supplier without receipt of your valid travel documents and full payment of this deposit.

The deposit amount may be found on the OUR SERVICES page and may be amended from time to time.

The deposit amount is immediately 100% non-refundable and non-transferrable, but may be applied toward the payment of your trip when you accept a valid quote as described in these Terms.

Our expert planning, booking, and trip management services come with a fee where permitted and the amount will be included in your quote. Suggested rates are found on the OUR SERVICES page and may be amended from time to time.

We reserve the right to waive all or part of our fees as reward for client loyalty or for any other reason we may decide from time to time. In agreement with current legislation surrounding travel insurance policy purchases, any waived fees shall not be construed as a discounting of policy purchase costs to the traveller or purchasing party.

Any such fees are payable and due at the time you elect to pursue a quote for a trip. You should be aware of your trip dates, who's traveling, and where you're going before any quote is delivered, in addition to the value you'd care to commit to your trip.

Please note that any material changes to your requested travel will result in an entirely new fee.

Material changes may include but are not limited to:

- Any change of named passengers

- Additional passenger numbers

- Any change in travel dates

- Any change in destination(s)

- Any change in cruise ship, train, or yacht

Your quote will be time sensitive and subject to the limitations listed in these Terms and those of a given supplier. You can accept your booking, at which time we will endeavour to book the agreed trip segments on your behalf and according to the Terms.

We'll provide up to two (2) revisions to your quote, as long as they are not material (immaterial).

An example of an immaterial change is an upgrade in your hotel room or cruise cabin category, a change in seating, or the like.

Further revisions may incur a wholly new fee.

Any fees are 100% non-refundable, non-transferable, and shall not be discounted from your trip costs if we elect to waive part or all of the fees unless clearly indicated otherwise.

Reserve the Right to Refuse

We may, in our sole discretion, perform certain duties of due diligence to ensure all transactions are of a legitimate nature. We reserve the right to refuse or deny booking, purchase, redemption, subscription or any other service to anyone at any time if we detect acts of a suspicious nature concerning security or of fraudulent intent.

We are also your advocates and that sometimes means advocating on your behalf against your wishes should you be attempting to book any of the following: travel to an unsafe destination such as a war zone; unsafe activities or those for which you are unqualified or underprepared, such as an ascent of the summit of Mount Everest without any prior climbing experience; those which would put your booking at risk, such as booking with an unproven or dubious travel supplier or a flight schedule which leaves insufficient transfer time; those which pose a contract risk to yourself or other travellers, such as so-called “throw-away flights”. This list is not exhaustive.

Quotes Subject to Change

All rates and availability are subject to change until processing has been completed and are subject to additional supplier terms and conditions.

Supplier Terms and Conditions

Various supplier partnerships, affiliations, and other relationships have been secured for the purposes of planning and booking travel on your behalf.

Please note that additional terms and conditions apply to your booking and that the supplier terms may differ among any selected trip segments or cruise & travel products.

We will provide you either a digital copy of these supplier terms or provide a link to the supplier terms on the relevant supplier website. Occasionally these terms are not available until after your name or a booking deposit has been submitted.

Payment Processing

Please do not send or attempt to send us money or any direct payment.

Only where we are operating a pre-arranged collection of funds are we able to administer similar payments and via our affiliate's trust account under contractually agreed circumstances, such as a Honeymoon Fund, a travel gift, or for certain group payments.

We only use your valid credit card or methods accepted by various suppliers for processing and at no time does Odyssean Travel collect or handle any funds.

Please note that where alternate methods are accepted, this can result in an alternate payment schedule or the need for additional considerations surrounding payments.

We will receive your credit card or debit card payment information via telephone only and during the client onboarding process or where you wish to submit a new or updated payment method.

Although we may confirm your desired payment method where you have submitted more than one, we will only ever request you confirm the card type and last four (4) digits of the card number. We will supply these and you will only be required to indicate one of either "Yes" or "No" to select the payment method.

At no time will we request any other payment information from you on any format.

Please do not share your payment information via email or any written means.

If someone contacts you about your payment information in relation to your travel purchase, you should contact us right away and share notice with your financial insitution.

Rates of Exchange

Not all suppliers are equipped to receive payments in your desired currency.

We will communicate various currencies related to your travel purchase and may present an amount representative in a familiar currency. Please note that this is for your information and convenience purposes only and that actual rates may differ.

You are responsible for any costs related to exchange and should discuss applicable rates and terms with your card provider or financial institution. This may include differing amounts following any applicable refund or your deposit & fees.

Affiliate Partners

As part of our commitment to enhancing your travel, we have secured a number of professional relationships with other businesses and individuals which we feel may add value to your overall use of our site and travel services.

We endeavour to build relationships with trusted providers only but we are unable to guarantee any product or service found through an affiliate. You are ultimately responsible for your own actions and communication, including regarding any purchases you might make through an affiliate business, including in direct relation to your travel.

Our affiliates may add, amend or withdraw any offer, product or service at any time. Accepting any promotion is at the sole discretion of an affiliate at the time of payment and is subject to availability and the additional terms and conditions an affiliate may have.

We shall not be liable for any loss related to affiliate partners.

Booking Standards

We understand that the value of travel is somewhat subjective and that you may have certain experiences in mind when you plan your trips with us or using information you've gathered from our site or from our Explorer community. We love cruise and travel, we love nothing more than to hear about our fans & clientele making the most of every opportunity to live out their travel dreams and to enjoy the best of what life has to offer on this amazing planet! That said, we must also encourage safe, responsible travel, and that beyond simple comforts, we have come to be recognized among those same fans & clientele for our incredible, high-quality itineraries. This means we must maintain certain minimum booking standards for most cruise, tours, and packages. Cruises should be booked with a reputable cruise line, ideally a current CLIA partner cruise line. Private and shared group tours should be arranged with a reputable supplier company. All inclusive vacation packages to the Caribbean, like tours, should be arranged with a reputable supplier company and must be a fair representation of the market value for a given destination - understanding that certain destinations have a higher general value point. This also means we must maintain a minimum total booking value for all full-custom itineraries and may not be able to help all travellers in achieving their travel dreams where we feel they have not dedicated sufficient value to securing those plans. In order to provide a quote or to provide any itinerary planning for fully customized travel (FIT or independent), you should plan to spend a minimum daily average amount for the duration of your time away from home. The amount varies by destination but should include the average value of flights, accommodation, transportation, and any activities. For example, we require a planned minimum value of at least US$500 per person per day when visiting Europe. So, a couple travelling to France for a week should plan flights, accommodation, some transportation and tour activities totalling at least US$1,000 per day for seven (7) nights / eight (8) days should plan no less than US$8,000 in travel value in order for us to work together with you and to plan your trip.

Changes and Cancellations

Your trip plans may change and we understand the need for flexibility in a modern travel climate. Your booking will be subject to supplier terms and conditions, which may or may not permit changes or cancellations, and which may result in a penalty or difference in fare, among other new costs. We'll do our best to help you navigate these terms and to keep your trip on the path of success, but we may also apply our own supplemental change or cancellation fees in addition to those of the supplier. These costs will be described to you in your original quote, but expect C$50/US$50 per passenger per change or per cancellation. In order to help protect your trip investment from these additional costs, we will encourage you to select refundable supplier products in addition to the travel insurance items listed in the Terms.

Promo Codes

If you have received a Promo Code as part of your Travel Society membership or subscription or as part of a promotion or contest delivered by Odyssean Travel, you may use it as described in the Apollo Boutique. Please note that certain Promo Codes may feature a date of expiration or may only be valid for use against the purchase of certain products. Promo Codes may not be used to purchase travel, pay for membership or subscriptions, or generally for any products or services found outside of the Apollo Boutique. Promo Codes hold no monetary value and are one time use only. Where you have used a Promo Code for a purchase and later request a refund, your refund amount will be limited to the amount paid by you at the time of check out and not the original or listed rate on our site.

Refunds, Returns & Exchanges

Each product available in the Apollo Boutique has its own policy which may be viewed in the product profile during your shopping session, and which must be agreed as part of the terms of purchase. General Rules Unless clearly stated otherwise, all custom products are 100% non-refundable and may not be returned or exchanged. Where you are purchasing a large volume of items, we recommend working with us to generate a single proof at a discounted rate in advance of any bulk order.

Who may participate? Are there restrictions on who may win?

We'd love your insight and to share in the fun, wherever you're based. However, we must remind you that the regular terms of use for this website and any associated competitions remain: We ask that users are 18 years of age or older and unfortunately cannot offer any sort of reward or prize to those who aren't valid residents of Canada and the United States. If you're part of the team or an immediate family member of one of our team members, if you represent one of our affiliate partners, or if you are yourself a travel advisor from a competing business, you aren't eligible to win anything.

Prizes hold no monetary value

Prizes, awards and merits of any variety hold no monetary value. They may not be returned, refunded, transferred, accumulated, delayed, deferred or discounted from any purchase you make on our site or in conjunction with any booking, even if you do not redeem such awards or do not use the full value of your awards, unless a specific award clearly states otherwise.

Subject to Terms and Conditions

All awards are subject to the regular terms and conditions of use and any specific requirements relevant to the redemption or enjoyment of such awards. This may include additional terms and conditions applied by any relevant third-party. We are unable to intervene on your behalf in contravention to any third-party terms.

Final decision

Challenges are intended to be fun and light hearted, let's keep it that way. No outcomes may be challenged and we reserve the right to apply our own decision against any game or challenge which has no clear winner or which otherwise results in a tie.
